Fourteen colleagues land at DXB Terminal 3 within an hour of each other. Taken by taxi, that’s four cars from the rank and four drivers reading the same hotel address off four phones. Somebody usually ends up at the wrong entrance. A van with driver in Dubai fixes that, as long as someone sizes the vehicle to the bags as well as the people.
Group runs are one part of our chauffeur and transfer services, from a family of eight to coaches looping between hotels and a conference venue.
How group transportation booking works
Start with numbers on WhatsApp: how many passengers (children and infants included), how many large suitcases, and anything awkward like golf bags, kit bags, prams or a wheelchair. Add each pickup, each drop-off, the times, and flight numbers if the trip starts at an airport.
We work out the vehicles and reply with a fixed fare per vehicle and the plan in writing. If arrivals are split across flights, the quote shows two options: one vehicle held for the last landing, or a smaller car sent for the early arrivals.
On the day we track every flight in the group. The driver waits in the arrivals hall with a name board showing the group or company name. Terminal details are on our Dubai airport pickup page.
For repeat runs, say hotel to venue at 08:00 and back at 18:00 for three days, we agree the timetable up front, and the vehicle either waits on site by the hour or returns at set times.
What’s included in a group transfer
- A driver for the whole journey or for the block of hours booked
- Fuel, plus Salik and Darb tolls on the route unless the quote says otherwise
- Flight tracking on airport pickups, with 60 minutes of free waiting after landing
- 15 minutes of free waiting at hotels, offices and venues
- A name board in arrivals and help loading the bags
- Child seats on request, matched to the ages you give us
Seats are counted per person. The RTA fines drivers for carrying more passengers than a vehicle’s authorised capacity (RTA driver violations list), so a baby in a child seat counts, and we can’t squeeze one more in on the day. The child seat rules guide explains what UAE law requires for younger passengers.
Which vehicle fits your group size
These are planning figures with luggage. Seat counts are often higher, but a seat with no room for bags doesn’t help an airport group.
| Group size | Vehicle | Passengers we plan for | Large suitcases | Good for |
|---|---|---|---|---|
| Up to 6 | Mercedes V-Class van | 6 | about 5 | Families, small executive teams |
| 7 to 12 | Toyota Hiace | 10 to 12 | about 7 | Airport runs, staff shuttles |
| 8 to 16 | Mercedes Sprinter | 12 to 16, fewer in VIP layouts | about 9 | Delegations, wedding guests |
| 17 to 22 | Toyota Coaster minibus | 21 to 22 | 12 or fewer | Tours, event shuttles, teams |
| 23 and up | Full-size coach | Confirmed per coach | Under-floor hold | Conferences, large tours |
Two calls we make often. For seven to nine people with full luggage from the airport, book a Hiace or two V-Classes, not one V-Class. And a Coaster full of people has little room left for bags, so for a 20-person arrival with suitcases we pair it with a Hiace for luggage or send two Sprinters. More on matching cars to bags is in our guide to choosing the right chauffeur car.
Event and conference transportation in the UAE
On event days the venue decides where vehicles may stop. Big exhibition weeks at Dubai World Trade Centre, shows at Dubai Exhibition Centre in Expo City Dubai, and conferences at ADNEC in Abu Dhabi usually have marked drop-off and coach areas. We check the organiser’s transport notes and drop where they tell us, which beats circling a closed road with 30 delegates on board.
For a conference shuttle we usually suggest timed loops: hotel departures every 20 or 30 minutes in the morning peak, then a single return window in the evening. A coach on a loop often moves more people than two coaches parked all day, and it runs up fewer waiting hours.
Sports teams, clubs and golf groups
Count each golf bag or full kit bag as a large suitcase when you send the numbers. A squad of 18 with kit usually needs a Coaster plus a Hiace for the bags. For training sessions, book by the hour and the driver stays at the ground.
What affects the price of group transport
Group quotes depend on the plan. The fixed fare reflects:
- the number and size of vehicles
- distance, and whether the trip crosses into another emirate
- one-way transfers versus hours on hire
- the pickup hour, including late-night airport arrivals
- split flights, extra stops and waiting at the venue
Once accepted, the fare holds even if traffic is slow or a flight lands late.
Group transport by emirate
Dubai
Most groups land at DXB. If yours flies into Al Maktoum (DWC) in Dubai South, the drive to Deira or Sharjah hotels is much longer, so check our Al Maktoum airport transfer page before you set the schedule. A coach leaving Downtown for Dubai Marina at 18:00 meets the evening build-up on Sheikh Zayed Road, so evening loops need slack. See our Dubai chauffeur service for districts.
Abu Dhabi
The big venues are ADNEC and Yas Island, home to Etihad Arena and Yas Marina Circuit. Yas sits on the Dubai side of the city, so groups staying in Dubai reach it without crossing onto the main island. For arrivals, see group pickups at Zayed International.
Sharjah
Sharjah Airport is Air Arabia’s base, so many budget group itineraries start there. The Sharjah airport transfer page covers arrivals.
Ras Al Khaimah and Fujairah
Resort weddings and incentive trips on Al Marjan Island or the east coast usually mean landing at DXB and a long road leg north or east. We plan that as one booking with the airport pickup, and our wedding car service handles the couple’s car.
